Holding an AGM in person:

Step 1: Book a room for your event. Your AGM needs to be held in a bookable space that is fully accessible. Your AGM should preferably be outside of working hours (e.g. evenings and weekends) to help make sure as many people can attend as possible.  You can book the room through the events booking form (Clerkenwell) or through roombookings@sgul.ac.uk

Step 2: You should create an event with the AGM date and venue on the students’ union website.

Step 3: Your AGM must be advertised via email to a full and up to date membership list. When you do this, cc in SUCommunities@city.ac.uk (societies Clerkenwell & Moorgate) sports@city.ac.uk (sports clubs) or studentsunion@sgul.ac.uk (societies Tooting). Make sure to promote your election on your social media pages.

Step 4: Hold your AGM! You must take minutes (template below), an attendance record (template below), and record the results. Remember to record the number of votes in your minutes. Your meeting must be 'quorate' which means you must have either:

a. 10 members present at the meeting

b. 50% + 1 of your membership present at the meeting

Step 5: Submit your results to the students’ union. The results submission form can be found here.
