Society Poster branding
There is dedicated areas for society posters at the Students' Union and around campus.
Posters that do not follow this will be taken down.
All student group posters should have the students' union logo banner on them. This can be found here. Below is guidance for proper usage of the banner:
. Placement
Position: The banner must be placed at the bottom of all print material, occupying the bottom of the page. No content should be placed beneath or overlap the banner.
Orientation: The banner must span the full width of the material. It should remain horizontal and must not be tilted, skewed, or rotated in any way. Please see proper usage images for guide.
2. Content
Unmodifiable: No alterations to the content within the banner are permitted. This includes but is not limited to:
Changing, resizing, or removing the logo.
Modifying the text in any way, including font type, size, or color.
Adding any additional text, images, or elements.
3. Approved Colors
Color Palette: Societies are only allowed to use the specific colours provided for the banner.
No Alterations: The colours of the banner must remain unchanged. Societies may not alter the hue, saturation, brightness, or opacity of the colors.
4. Consistency
Brand Consistency: The banner design has been carefully crafted to align with the Union’s brand identity. All societies must ensure that the banner is consistent across all print materials, maintaining the intended look and feel.
Prohibited Adjustments: Societies may not:
Change the size or dimensions of the banner.
Crop or cut off any part of the banner.
Add filters, shadows, or any design effects to the banner.
5. Usage and Compliance
Mandatory Inclusion: The lower third banner is a mandatory element on all society-based print materials, including but not limited to posters, flyers, brochures, and event programs.
Consequences of Non-Compliance: Failure to include the banner or altering it in any way will result in the removal of the society’s materials from circulation. This includes posters being taken down.
6. File Formats and Access
File Availability: The banner is provided in several file formats suitable for various types of print material, including high-resolution PNG, and vector formats (AI or EPS).
Access: Societies can access the approved banner files through the society’s shared resources drive or by contacting the societies coordinator.
7. Support and Queries
Design Assistance: If societies encounter any issues with the banner, including placement or technical difficulties, they should reach out to the Students’ Union design team for support.

All posters need to be approved by the students' union before they go up on campus. Posters should be emailed to SUCommunities@city.ac.uk or you can check at the Students' Union Welcome Desk.
Posters will be reviewed, and the outcome of the review will be communicated in 2 working days. Posters are reviewed to ensure that student group activity and communications adheres to the Societies Handbook including communications guidelines, external speakers and health and safety.
Student groups can order merch through the Students' Union but can equally go through external compaines as long as it follow the above guidance. As a Students' Union we order through Hotline Bling for society merchandise. As a committee member you would need to send in your designs and guidance around the items you wish for us to order. Make sure that your designs follow the Hotline Bling branding guidelines, and your finance office have created a budget plan. Please email sucomms@city.ac.uk for further guidance.
Student groups have a duty in law to responsibly manage any personal data that you collect from members or participants in your activities. You are responsible for all personal information that you receive, store and use from the point of collection to the point at which it is deleted. You should follow this best practise to ensure your group is compliant with data protection regulation.
Collecting and storing data- All membership data must be stored digitally with the secure MSL system (City Students’ Union website). No other system should be used to store your member data.
Sharing data- Access to personal membership data must be restricted to elected committee members. Personal data must never be shared with a third party (eg: a sponsor of your society).
Deleting data- It’s a good idea to make it clear at the point of collecting data how long data will be retained. (e.g.: This data will be stored for the duration of your membership after which it will be permanently deleted.)
